Key Responsibilities

  • Project Coordination:
    • Act as the primary liaison between the Director and project in-charges across STP, WTP, water supply, and drainage projects.
    • Monitor project progress and ensure timely updates to the Director.
    • Follow up on action items and deadlines with project teams.
  • Payment and Financial Management:
    • Handle project-related payments and coordinate with the finance team for timely disbursements.
    • Maintain records of all project-related financial transactions.
  • Administrative Support:
    • Manage the Director’s calendar, schedule meetings, and organize travel arrangements.
    • Prepare and edit reports, presentations, and correspondence for internal and external stakeholders.
    • Take meeting minutes and ensure follow-ups on key deliverables.
  • Communication and Reporting:
    • Ensure smooth communication between the Director’s office and various departments.
    • Prepare regular status reports and presentations for ongoing projects.
  • Problem-Solving and Support:
    • Identify and address operational bottlenecks by coordinating with relevant teams.
    • Handle ad-hoc tasks as assigned by the Director.
  • Stakeholder Management:
    • Build and maintain professional relationships with internal and external stakeholders, including clients, vendors, and contractors.
Qualifications

Qualifications Requirements:

  • Bachelor’s Degree in Business Administration, Civil Engineering, Environmental Science, or a related field. A specialized degree can help the assistant understand the technical aspects of STP, WTP, and other construction projects.
  • Preferred: Additional certifications in Project Management (e.g., PMP) or Executive Assistance.

Skills

  • Project Coordination – Familiarity with project workflows, especially in construction or environmental engineering projects.
  • Strong Organizational Skills – Ability to handle multiple tasks, coordinate project timelines, and manage the director’s calendar effectively.
  • Technical Understanding – Basic knowledge of water treatment, sewage treatment, and construction projects to support communication and documentation.
  • Communication Skills – Proficiency in drafting reports, handling emails, and coordinating between project stakeholders.
  • Software Skills – Proficiency in Microsoft Office, project management software (like MS Project or Asana), and possibly some industry-specific software.
  • Discretion and Professionalism – Ability to handle sensitive information with confidentiality and professionalism.

Additional Requirements

  • Knowledge of local and environmental regulations relevant to STP, WTP, and drainage projects.
  • Familiarity with financial or budget management to assist in budget tracking and cost reports.
