Job Summary

We are looking for a proactive and highly organized Executive Assistant. The ideal candidate will have strong multitasking skills, exceptional communication abilities, and a knack for handling administrative tasks efficiently. The role involves acting as a primary point of contact, managing schedules, coordinating meetings, and ensuring smooth communication across various levels of the organization.

Key Responsibilities

  • Calendar and Schedule Management:
  • Organize and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel plans.
  • Coordinate internal and external meetings, ensuring proper preparation and timely communication.
  • Mail Communication:
  • Manage the CEO’s email inbox; respond to emails on behalf of the CEO when required.
  • Draft, review, and format emails, reports, and other correspondence with a professional and clear tone.
  • Ensure timely and accurate communication with clients, partners, and internal stakeholders.
  • Administrative Support:
  • Prepare and edit documents, presentations, and reports for meetings.
  • Handle confidential information with utmost discretion.
  • Assist in organizing company events, conferences, and special projects as assigned.
  • Travel and Logistics:
  • Coordinate travel arrangements, including flight bookings, hotel accommodations, and transportation.
  • Prepare detailed travel itineraries and handle changes promptly.
  • Stakeholder Coordination:
  • Act as a liaison between the CEO and other departments, ensuring smooth communication and follow-up on tasks.
  • Manage and track key projects and initiatives, providing updates to the CEO regularly.
  • Office Management:
  • Maintain an efficient filing system for documents and records.
  • Monitor and reorder office supplies as needed.

Key Skills Required

  • Proficiency in email and business communication.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and handle multiple priorities.

Qualifications

  • Bachelor's degree in Business Administration or related field.
  • Minimum 3 years of experience as an Executive Assistant or similar role.
  • Fresher /Candidate having Admin Experience With Excellent written and Verbal communication skills can also apply
  • Prior experience in supporting C-level executives is preferred.
