Job Description
Key Qualifications and Skills:
- Analysis and troubleshooting of Coupa issues
- Provide process support to application users when escalated through lower levels of support
- Liaison with operating and support units to provide Coupa application support, identify training needs, and make recommendations for functionality and business process improvements.
- Coordinate assistance calls with Coupa when escalation is needed.
- Work with Coupa to coordinate Coupa release upgrades, special projects, and conversions
- You will interact with and leverage insights from COUPA Community to create and maximize opportunities with COUPA Advantage Suppliers and new tool functionality
- You will monitor efficiency metrics to ensure tool adoption, process efficiency, and spend efficiency
- The COUPA Administrator will interact regularly with leaders from across the enterprise and at all levels of management to troubleshoot issues, resolve roadblocks, drive continuous process improvement, and support strategic priorities
- Responsible for maintenance, documentation and changes to account groups, approval chains, workflows, custom objects, forms, user permissions, t&cs (e.g. payment terms, tolerances) and other configuration as needed
- Review major release notes for COUPA releases and prepare Apogee to incorporate new functionality into the instance and to communicate to stakeholders any changes as appropriate
- Research, compile, and assemble data and assist users in the preparation of various reports
- Assist Coupa end users in the development of ad-hoc reports or queries using standard Coupa functionality
- Assist with Coupa user training and orientation for generic system functions and issues
- You will work with functional SMEs to identify opportunities for continuous improvement in the procurement-to-pay, Supplier Onboarding, Contract and Sourcing processes and seek to streamline business processes across the enterprise
- Collaborate with supplier and content enablement leads to assist with and monitor supplier on-boarding and catalog enablement Works closely with IT on integrations between Coupa and other platforms including, problem resolution, and system efficiency issues
- You will leverage existing dashboards as well as create new insights to monitor, report, and analyze efficiency and utilization data
- This includes making recommendations on process improvement opportunities for service levels, user adoption, license utilization, spend efficiencies/opportunities, and internal controls effectiveness
- Participate in internal audits of the Purchasing and AP functions within the organization, and support the broader finance and procurement organization as needed for internal/external audits and regulatory exams
- You will conduct and manage all aspects of the quarterly access review and SOX audit to ensure that Coupa users have the correct roles assigned through audit and user provisioning requests
- Train and develop superusers in the utilization of Coupa, when necessary
- Be a champion to expand the use of Coupa throughout the company, show the value of the tool to those groups not currently using it and assist in the transition into Coupa, and build a strategic roadmap for the overall purchase-to-pay process.
- Recommend process improvements and enhancements of application usage
Key Qualifications and Skills:
- Must possess strong procurement business skills, be assertive, and demonstrate initiative when investigating issues.
- Must display excellent oral and written communications skills to translate business requirements into Coupa configuration requirements.
- Must be able to deal logically and effectively with department heads, departmental employees, and external parties.
- Must communicate and influence effectively, with the ability to motivate and influence others inside and outside of own organizational hierarchy.
- Must have the ability to deal with change and ambiguity effectively
- Must have the ability to get along and cooperate with co-workers, desire to be considered an integral part of a services team and to contribute to the success of the group.
- Must have the ability to work in a fast-paced environment, set priorities, work under pressure, and follow through with assigned tasks with limited supervision.
- Incumbent must have effective interpersonal skills and judgment to handle sensitive and confidential information and situations
- Position requires a high degree of independent thinking and initiative. Must have the ability and interest to learn how best to leverage Coupa and system data to meet business needs; the initiative and resourcefulness to search for solutions and new knowledge on how to achieve a desired result; and independent thinking to prioritize the workload and determine how to best accomplish various tasks.
- 3 to 5 years of relevant professional experience
- Strong knowledge of Procurement, Sourcing, and Supplier Management.
- Experience with Coupa is required
- The successful candidate will be expected to be a high-energy, and resourceful self-starter who demonstrates leadership skills and instincts
- They will be highly intelligent and enthusiastic with a commitment to excellence
- The successful candidate must be a hands-on person who possesses the best combination of strategic thinking and drive to move business processes to a standardized enterprise level experience
- They will have an ability to communicate across large cross-functional teams and a demonstrated ability to navigate complex and ambiguous business processes.
